Good planning gives your event the edge. Use Gullivers' checklist to make the best of your fundraising opportunity.
- Choose a date and venue
Where is best for your activity? Will your event be held at your school, sports club or somewhere else, inside or outdoors? Think about the time of year for weather, activities and themes and check out what else is going on in the local area so your event doesn't clash. - Plan your theme
Why not plan a race night, a themed evening or something completely original. Take a look at our fundraising ideas below for some suggestions. - Set your fundraising target
Set your donation or entry fee for the event and plan some extra fundraising activities such as raffles and auctions to raise even more money. Plan for the costs you will incur and make sure you stick to your budget. - Invite your guests
The more guests you have, the greater potential money raised. Send out details of your event to everyone associated with your tours, as well as friends, family and colleagues. - Promote your event
Put up posters in your local area and contact local papers for coverage. Put up information on notice boards at your school or club and feature your event on your website, in the school or club newsletters and announce it at meetings. - Get some help
Contact local shops, pubs and restaurants to donate items and prizes and to display posters. Ask everyone associated with the tour and their friends, family and colleagues to help out as well. - Collect donations from your guests.
Make a record of all the money you receive. Perhaps set up a fundraising page on your website to make it easier for people to donate money. - Have fun and make it safe
The key to a great event, and successful fundraising, is to enjoy yourself. The more fun you have, the more your guests are likely to give. As well as having fun it is vital that in holding any event you protect yourself and others. Make sure you keep it safe and legal. - Thank your guests
Everyone who comes to your event will be making a difference to your fundraising, so let them know how much money you have raised and how things were on your sports tour once you get back. Perhaps put photos on your website.
It is important to begin your plans early enough to make fundraising a pleasure rather than a chore. If you organise a well co-ordinated programme of mixed events prepared throughout the year or two years before the departure date, you will produce far better results than a last minute rush.
It is imperative to involve parents right at the beginning of the process too. A small active committee of staff and parents works best, but it is important that the fundraising events are supported well by everyone and not just the nucleus of hard workers.
Many schools and clubs set targets for individuals to raise on their own and another target for collective efforts. This works well and ensures everyone contributes.

- Corporate Sponsors
This is the easiest one when you can pull it off! Contact local companies to see if they would like to make a donation in return for having their logo printed on your kit. - Summer Ball or Themed Evenings
Hold a ball at your club or school and get everyone involved in selling tickets. Perhaps set a theme based on your touring destination. - Race Nights
Recent well-organised race nights have raised over £4,000, so are worth considering. We will provide you with the race DVDs and advise you on running a successful evening. - Bag Packing
Persuade your local supermarket to allow players to help out with bag packing at busy times of the year, eg Christmas. Get the players dressed up in their team strip or uniform with lots of buckets to collect loose change. - Local Treasure Hunt
Your area is full of fascinating stories and history, so dig some up and turn them into clues, then charge people to enter your Treasure Hunt. One winner scoops the treasure but everyone will enjoy the adventure. - Quiz Nights
Quiz nights are always very popular. Perhaps get in a celebrity quiz master. - Sponsorship Events
Why not organise a sponsored run, bike ride or sporting event? Teams could be Players v Parents and participants could even compete in fancy dress. On the sidelines, a BBQ could be arranged to feed the hungry supporters and raise money. - Tour Brochure
A great memento for all involved with lots od potential as a money spinner. Make it a good read with maybe some anecdotes from famous stars and local celebrities, former pupils or players and so on. Get to know a local printer and designer or perhaps combine it with a school project to keep production costs down. - Tour Dinner
